Interpretation

Words with initial capital letters have specific meanings defined under the following conditions. These definitions apply regardless of whether they appear in singular or plural form.

Definitions

• Keka Ambassador Program, Ambassador Program, Referral Program, and Keka Referral Program are used interchangeably. The nuances of this program are detailed further in the document.
• Referrers: Individuals or entities who provide details of prospects interested in the Human Resource Management System (HRMS).
• Prospect: Any individual or organization whose details have been provided by the referrer and is looking for an HRMS.
• Referral Forms: Documents or electronic submissions provided by the referrer, containing details of potential prospects interested in the HRMS.
• Prospect Nurturing Cycle: The systematic process of engaging and cultivating potential prospects, from initial contact to their decision to adopt the HRMS, involving ongoing communication, support, and relationship-building activities.
• Terms and Conditions (also referred to as "Terms"): These Terms and Conditions form the entire agreement between you and the Company regarding the use of the Service.
• Website: Keka.com, accessible from www.keka.com

Acknowledgment

These are the Terms and Conditions governing the use of this Service and the agreement that operates between you and Keka. These Terms and Conditions set out the rights and obligations of all users regarding the use of the Service.

Your access to and use of the Service is conditioned on your acceptance of and compliance with these Terms and Conditions. These Terms and Conditions apply to all visitors, Referrers, and Prospects. By accessing or using the Service, you agree to be bound by these Terms and Conditions. If you disagree with any part of these Terms and Conditions, you may not access the Service.

You represent that you are over the age of 18. The Company does not permit those under 18 to use the Service. Your access to and use of the Service is also conditioned on your acceptance of and compliance with the Privacy Policy of the Company. Our Privacy Policy describes our policies and procedures on the collection, use, and disclosure of your personal information when you use the Application or the Website and informs you about your privacy rights and how the law protects you. Please read our Privacy Policy carefully.

Keka Ambassador Program

The Keka Ambassador Program is a referral initiative where individuals can refer prospective customers ("Prospects") to Keka. If the referred Prospect's needs align with Keka's offerings and the Prospect subscribes to Keka's services, the individual who referred the Prospect will be rewarded according to a predetermined reward structure.

This policy outlines the guidelines, processes, and incentives for anyone who refers our services to others.

1. Eligibility for the Keka Ambassador Program

• All existing customers of Keka are eligible to participate in the Keka Ambassador Program.
• Individuals who are not current customers of Keka are also eligible to participate in the Ambassador Program.
• Referrers must be in good standing with Keka HR and must not be in violation of any terms of service or agreements.

2. Referral Submission Process

• Referrers should submit referrals through our official referral portal at Keka Ambassador Program.
• Referrers must first check if the Prospect has requirements for an HRMS.
• The Referral form must include complete contact information of the Prospect and their company. Essential details like ‘Name’, ‘Work Email’, ‘Organization Name’, and ‘Phone Number’ are mandatory.
• Referrers are encouraged to provide context or information about the referred party to assist in the Prospect Nurturing Cycle.
• Please use your official work email ID when filling in your details under the referrer section.

3. Valid Referrals

A referral will be considered valid if:

• The organization of the Prospect is not in our active database.
• The organization of the Prospect is in our database but has been unresponsive for 6 months and if your connection helps revive the Prospect.
• The organization of the Prospect is in our database but hasn’t been connected with the right decision maker or is lost, but the referrer connects us with the right decision-makers and the Prospect revives.
• The organization you're referring is NOT already in the sales cycle.
• Referrals/Leads coming from the ambassador page will only be eligible for the referral program.
• Please use your official work email ID when filling in your details under the referrer section. Submissions using generic email IDs (such as Gmail, Yahoo, or others) will not be processed to maintain the integrity of the program and prevent misuse.

4. Referring an organization you are working for.

No, individuals are not permitted to refer their own organization under the Keka Ambassador Program. This policy is in place to ensure fairness, maintain the integrity of the program, and prevent any potential misuse. Allowing self-referrals could lead to unintended exploitation of the program’s benefits, which is why we encourage referrals to be made for other companies or professionals who would genuinely benefit from Keka’s solutions.

5. Process of Communication for Invalid/Unsuccessful Referrals

• Invalid Referrals: After 2-3 business days of submitting the referral, our internal team will evaluate if your referral matches our criteria. If not, it will be communicated to you.
• Unsuccessful Referrals: When the referral decides not to proceed with Keka, you will be informed either through email or call.

6. Referral Incentives/Gratitude Gift

• For each referred Prospect submitted who which is valid and qualified will be marked as a Valid referral.
• For every valid referral the referrer will be awarded Rs 5100 worth amazon gift card.
• The incentive will be provided in the form of Gift Cards worth the respective value.
• The Gift Card will be sent to you within 1-1.5 months post the Prospect’s closure.
• The value for the Prospect will be in the form of a one-time 10% discount on a yearly Keka subscription.
• Incentives are subject to change at the discretion of Keka management.
• The discount percentage is capped at 10% for the referred contact, more discounts will not be allowed from this program.

7. Qualifying Referrals

A referral will be considered successful and eligible for the incentive if the referred Prospect subscribes to a paid subscription and remains a customer for a minimum period of 1 year. Referrers will be notified through email once their referral qualifies for the incentive.

8. Program Changes and Termination

Keka reserves the right to modify, suspend, or terminate the referral program at any time without prior notice. Any changes to the program will be communicated to referrers in the pipeline via email or through official Keka communication channels.

9. Compliance

• Referrers are responsible for complying with all applicable laws and regulations regarding referrals and incentives.
• Referrers must not engage in any fraudulent or unethical behavior to obtain referrals or incentives.

By participating in the referral program, referrers agree to abide by the terms and conditions outlined in this policy.
