KEKA Wallet System is a consumption-based billing – True SAAS billing. Which means, instead of paying for a fixed subscription, you pre-pay for the services based on the projected number of employees & consumption of services. You would have the privilege to track the usage and pay only for the actual consumption based on the usage.

Why are we moving customers to KEKA Wallet System?

Most of our newer customers are already on this and have benefited greatly from the same. We wish to extend the same to you in the interest of simplifying the billing process for our existing clients as well.

How does KEKA Wallet work?

You get Keka credits equivalent to the amount you paid. The usage of services is calculated monthly and deducts the consumed Keka credits from your account.

How are you charged using Keka credits?

The usage of services is calculated monthly and deducts the consumed Keka credits from your account based on the active employee count.

How does active employee count work for billing?

Billing consumption is deducted at the end of a calendar month. An employee active on any date within a month is counted towards billing. As an example, if you have 200 employees as of Aug 20 and you added 4 new employees on Aug 21. The active employee count is 204. Let’s say 2 employees were exited on Aug 25th, the active employees in the calendar month of Aug is still 204.

How do I buy Keka credits/Renew my subscription?

It’s simple and easy. Visit our billing portal, click on “Buy Credits” from Dashboard. Review the breakup of charges and choose your preferred mode of payment from Credit Card/Debit Card/Net Banking/UPI (OR) NEFT/IMPS and renew your subscription.

Why did my Keka account expire before the billing period has reached?

Your consumption of Keka services must have been more than the initial estimated amount and your account could expire sooner than the billing period end date. As an example, you may have taken subscription for 1 year for 1000 employees. However, if you added another 1000 employees in the middle of the year, you would exhaust the Keka credits faster. You can always pay the top up credits to your account to continue services for the remaining period in the billing cycle.

Do I have an option to top up the balance as my credits expired before renewal?

Absolutely yes! From the billing portal click on “Buy Credits” from Dashboard, select the option “Low balance top up” and choose your preferred mode of payment from Credit Card/Debit Card/Net Banking/UPI (OR) NEFT/IMPS and top-up the balance.

How does Top-Up option work for different billing cycles?

If your billing is “Quarterly” you will have an option to renew subscription using this option - (Top-Up + Upcoming Billing Period). If your billing is “Half-Yearly or Annual” you can renew your account using “Low-Balance Top-Up” op

How can I check the credit transaction history?

Keka maintains and provides the details of the transaction history of credits. Please navigate to Credit Transactions from the billing portal, click on respective transactions for details. You may also download a PDF of the transaction history by clicking on “Download Credit Transactions” from the same page.

How can I check the consumption information for a respective month with actual consumed units?

How do I access/download Tax invoices?

Tax invoices will be generated automatically once the payment is made. You may view & download the tax invoices by navigating to “Invoices” from the billing portal.

How do I find pending transactions?

Once you have processed the payment, Keka will verify the payment to add necessary credits to the account. To view these pending transactions, navigate to the “Invoices” tab from the billing portal.

How do I find the pricing and the discount details for the subscription plan and the Addon’s that I’ve chosen?

Please visit the billing portal and the details of the subscription plan, Add-On, pricing and discount will be displayed on the Dashboard

Can I request for billing cycle changes from Half Yearly/Yearly to Quarterly?

Yes, you may request for the change in billing cycle to Quarterly from Half Yearly/Yearly. However, you will have to forego the respective discounts that are applicable on Half Yearly and Yearly payments. If you are ready to forego the discounts, please contact us at support@keka.com

How can I check the Keka Credit balance?

Available Keka Credits will be displayed on the Dashboard of billing portal. For breakup of available credits, click on the information icon

What is estimated expiration?

Keka will calculate the estimated date of credits expiration based on the consumption of services. This may change month on month as the actual number of employees may increase or decrease in any respective month of the year.

How do I know how many employees added/exited?

Please download the report “Relieved Employees” by navigating to Org -> Dashboard -> Reports: Employee Status -> Relieved Employees from your tenant. This report will give you the details of employees’ Joining and Exit dates.

Will I be notified for renewal of Keka Subscription & Add-On’s? If yes, who all would be notified?

Before the renewal of Keka subscription plan, Keka will notify the Billing Users via email with the estimated total amount before 15, 7 and 3 calendar days respectively.

How do I find out the number of days an employee (s) used Keka services?

Explain monthly burn?

Keka will calculate the number of credits you are using based on the consumption for the current month. The monthly burn numbers might change month on month as the actual number of employees may increase or decrease in any respective month of the year.

If my credits expire today, till how many days will the tenant be active. Or how many days after the negative credits begin to accumulate, will accounts expire/block?

Keka will provide 10 calendar days for you to renew the subscription or Add-On’s from the date the credits expire. On the 11th day the tenant would be blocked. Please note, during the Grace days, negative credit will accumulate and when you process the payment for Top-Up or renewal, first, negative credits will be settled and then the credits for the remaining amount will be added to your account.

What are negative credits?

If the credits in your account expire due to high consumption, Keka will provide additional 10 calendar days for you to Top-Up your account or renew the subscription without blocking your account. During these Grace days, because of consumption negative credits will accumulate and allow you to use Keka services without interruption. Please note, when you process the payment for Top-Up or Renewal, first, negative credits will be settled and the credits for the remaining amount will be added to your account.

What are the billing terms & Conditions?

  1. No Refunds
  2. Expiration date may change based on your consumption
  3. GST amount won’t give your credits
  4. Terms used in billing:
Tenant A single instance of the Keka software and supporting infrastructure to serve a single customer.
Setup Fee The amount paid towards the setup of Customer policies and processes as per Keka functionality.
Base Price It is the fixed charge per month for the respective subscription plan or Add-On and minimum fixed number of employees. Please visit pricing page for base price and the minimum fixed number of employees.
Paid Credits Credits added to your account for the amount your paid towards the subscription plan and or Add-On’s.

From when Keka will start charging me?

The billing would be charged as per your acknowledgment of billing Grace period during the initiation of the setup process.

From when will my subscription start?

The subscription will start from the date you make payment for the Subscription Plan and or features/Add-On’s you opted for.

When a tenant will be created for us?

The tenant would be created for you as soon as the Transition call is completed with the respective Onboarding POC from Keka.

What is the cost per employee per month?

There is no constant price as the pricing will depend of the subscription plan and or features/Add-On’s you opt for.

What is minimum commitment employee pricing?

This is dependent on the number of employees committed for all the modules licensed based on your negotiations with the salesperson at the time of closure or upgrade.
