Option to Bulk Import Asset:
You can bulk import assets through below path:
Org >> Assets >>Bulk Import.
Points to note:
All fields which are marked in Red are mandatory to add an asset.
Reason is mandatory to add an asset with status as ‘Not Available’.
Employee Number and Assigned on dates are mandatory to add an asset with status as ‘Assigned’.
Select correct Category and Asset type which are added in UI to avoid errors. It is required to add new assets through import before which you have to create all categories and asset types required. We can’t update the existing assets with this import, rather this can be used only for new assets.
You can now download an asset report from the path Org >> Assets >> Asset list.
Though this option is provided within each asset type, the report contains assets from all categories.
2. Login & Email Notification:
With the help of this report, Global Admin/ HR Manager/ HR Executive can see the Login and Email Status of the Employees. This will help you identify the reason for email delivery failure if an employee didn’t receive any email from Keka.
This report can be accessed through the path – Org > Employees > Logins > Login Registrations.
3. Employee Exit Notification
An email will be sent to the Reporting Manager, HR Manager, HR Executive, and Payroll Admin if an exit is initiated for any employee.
1. Introducing Shift Groups
You can now create simple or rotational shifts using this feature to manage your workforce efficiently.
i) Simple shift refers to single shift which resembles the old shift and week-off setup.
ii) Rotation shift can be created with a minimum of 2 shifts to a maximum of 4 shifts. Each shift cycle.
Please find the detailed flow below:
Choose an icon and give a name for the shift, configure week-offs as required. Choose shift timings & break duration – same through the week or different for each day.
Choose “Rotation shift” option in step 1 and enter the number of shifts required.
2 Shifts: Choose between alternative rotation or uneven cycle rotation. Choose rotation pattern from the options given in drop-down for uneven cycles.
3 or 4 shifts – These options will not be shown. Give shift cycle period (in weeks) i.e., the period for which each shift lasts and shift cycle start date, i.e., the date from which rotation starts.
Create/Edit Team Names:
Weekly Off Setup:
Select the checkbox of any day and click on default selected week-offs (All) and configure it as required in the pop-up shown. This is same for both simple and rotational shifts.
Flexible shift option is available only for the simple shift. Here you can give the same gross hours and break duration for the entire week or different for each day. A flexible shift can be configured in two ways
i) Flexible shift with gross hours and break duration considered
ii) Flexible shift without gross hours and break duration considered – this is same as a flexible shift that was available previously.
Shift Group Summary:
Shift Group Employee Allocation:
Employees can be allocated under shift groups’ team from “Employees” tab of corresponding shift group with an effective date. Effective date here refers to the date from which shift is applicable to an employee.
i) Under a simple shift, there’d be only one team to move employee into.
ii) Under rotational shift, there’d be number of teams based on the number of shifts (or pattern of shifts) chosen.
iii) Employee who don’t have shift group assigned or employees from other shift group can be moved to a simple shift group using below screen.
Employees within the same rotational shift group, or from other shift group or employees who have no shift group assigned can be moved under rotational shift.
My Team Employee Allocation:
Reporting manager can update shift group for his/her reportees through My Team –> Attendance –> Time Assignments.
Note: This can be done only for simple shift assigned employees.
Shift group assigned for each employee with team name under which he is added can be viewed in “Org –> Dashboard –> Employee shift group details report”.
If an employee has no shift assigned, he will be shown a message “No shift assigned yet” in Leave, Timesheet, Attendance tabs.
2. Enhancement in Timesheet
Provided ability to give start and end dates for resources under projects.
Previously, start and end dates for the resource was possible only through import. But now, you can give start and end dates for the resource in UI. Through this, an employee can enter time entries of the corresponding project only within the given period.
Warning message if employee weekly hours are not met while submitting Timesheet.
Weekly hours can be configured in Settings –> Timesheet –> General. While submitting the timesheet, if hours added by the employee are less than the hours given in the setting, there’d be a warning message displayed.
3. Additional Columns in Working Days Summary Report.
You can now see the number of days employees arrived late in the selected period under “Late arrival days” column and the number of days employees having missing swipes in their attendance under “Missing swipe days” column in this report.
PERFORMANCE MANAGEMENT SYSTEM
Ability to add/remove reviewers when reviews are in progress. There are many instances in which the admins want to add or update existing reviewers to provide feedback for an employee when his or her performance review is in progress. Through this feature, we give the ability for admins to do so. This feature can help handle various common cases such as updating the reporting manager or adding the L2 manager or peers later when the reviews are in progress.
When can it be done?
Admins (Performance and Global admin) can only edit the reviewers of an employee if his review is meeting or review form or moderation steps. This ability will not be available once the review moves to the final or last step.
How to add or remove reviewers?
The following are the steps to add or remove reviewers –
Step 1: Go to Review Administration >> Select the desired review group and review cycle
Step 2: Click on the ‘Manage Reviewers’ icon for the desired employee
Step 3: Click on the options (3 dots) icon to perform actions of your choice
Case: Add New Reviewer. You can new reviewers in the following ways.
Adding Reporting Manager, L2 Manager or Department Head:
Reporting manager, L2 manager or department head can be added in the sequence, in case they are not present as reviewers. If they are already present as reviewers for an employee, then adding them again is not possible.
Adding peers or subordinates :
If peers or subordinates are already present in the sequence, you can add any number of additional reviewers in those steps. In case they are not present, you can add additional steps to do so.
NOTE: In case the reviews are taking place in a sequential manner, then new reviewers cannot be added before those steps in which reviewers have already submitted.
Case: Remove reviewer
You can remove any reviewer of your choice.
NOTE: In case a reviewer is removed, all the data or the review submitted by him or her will be lost.
In sequential review type: Reviewers can be added in the desired step by using “Add reviewer in this step” or “Add reviewer in new step below”.
Independently review type: In independently review type, “Add reviewer” will be shown to add new reviewers.
Once you have made edits to the reviewer, click next. Here you can re-allocate weights to the reviewers that are finalized in the previous step.
2.Enhancements in Review Forms
Ability for managers (Reporting manager,L2 manager, Department head) to see the review forms of their reports when the reviews are in progress. This is based on the setting in feedback form step in review process settings. Even if managers are not participants, then also then can view the Ratings of selected reviewers.
As of now, there is no visibility for managers once the review is submitted by all the reviewers, but now they can view in My team->Performance->current reviews.
