Ability to decide the maximum number of times a leave can be taken in the entire employment – Jan 03, 2020
In general, organization wants to define the number of leaves that taken by employees for maternity/paternity leaves in the entire employment tenure.
For that we have given an option to define the number of instances in leave restrictions step for a leave type. If the below is selected, then employee can apply only those number of leave requests.
Job level Dashboard in Hiro – Jan 03, 2020
Job summary dashboard gives a quick view of job details like offers released out of total positions for the job, total candidates sourced till date, offers accepted – offers that has status updated as “Accepted”, total candidates rejected.
Channels widget – gives details of candidates sourced from various sources like careers portal, Naukri job posts, etc
Job info widget – shows job location, department, budget, type (full time or part time), hiring due date. Clicking on “View job description” shows description of the job given
Hiring funnel – shows count of candidates available in each stage. If a stage has 0 candidate, that stage will not be shown
Recruiter performance – count of candidates assigned to recruiter of job in the past 5 weeks
Recruiter leader board – count of candidates (assigned to recruiter) who has offer released
Note: If candidates are not added yet, hiring funnel and channels appear empty. If recruiter is not available, recruiter performance and recruiter leader board widgets are not shown
Candidate mapping in Hiro – Jan 03, 2020
Earlier, if a recruiter is removed from the role under a job, he/she can no longer access candidates of that job anymore. But now, we have provided options where user though removed as recruiter from the job can still access the candidates or those candidates can be assigned to a new recruiter.
Clicking on delete icon to remove a recruiter, asks for candidate mapping further
Option 1 enables old recruiter to access those candidates (if any) added by him/her under the job. He/she will not have any additional permissions on the job (as a recruiter) other than those related to candidates.
Option 2 asks for selecting a new user to be added as recruiter for the job. New recruiter can access the candidates of job and can have all permissions on the job (as a recruiter)
Capturing Candidate Experience in Hiro – Jan 03, 2020
Earlier there was no experience field available. Now there’s a new field “Experience” added and by default selected as “Optional”. User can configure this while creating a job.
Experience field is shown for the candidate (based on the visibility chosen in job) while applying for a job. While adding a candidate or importing candidates, this field is available by default. Experience provided is shown in candidate profile.
Note: Experience will be shown in candidate’s profile only for the new jobs created
Added Candidate perspective and Job perspective reports in Hiro – Jan 03, 2020
Added four new job related reports (based on candidate perspective and job perspective). These can be accessed by Global Admin and Super Recruiter. These reports also can be exported as excel for usage outside Hiro.
Candidate perspective reports
1. Job wise Candidate Information report
This report shows all details of candidates corresponding to the job selected. Filters of source from which candidate has been added and current stage under which candidate is are available.
2. Recruiter Wise Candidate Information Report:
This report shows details of candidates corresponding to a job and the recruiter selected. Filters of source from which candidate has been added and current stage under which candidate is are available.
Job perspective reports
1. All Job status Report:
This report shows all jobs related data like job information details, hiring team details, candidate count. Filters of job, if requisition requested, job type if part time or full time, job status if draft/published/archived/offline can be applied.
2. Recruiter wise Job hiring status:
This report shows recruiter based data, i.e., job details for which selected user is the recruiter, candidate count – sourced, offered, hired, rejected for each job
- Candidates sourced – refers to count of candidates assigned to recruiter
- Candidates offered – refers to count of candidates assigned to recruiter who got offer released
- Candidates hired – refers to count of candidates assigned to recruiter who are in hired stage
- Candidates rejected – refers to count of candidates assigned to recruiter who got rejected
Ability for Admins to delete employee documents and generated letters from employee profile – Jan 09, 2020
If an employee uploaded any wrong documents or uploaded multiple documents by mistake, Global Admin / HR Manager / HR Executive can now delete them from Employee profile > Documents tab
Similarly if Admin generated any letter for the employee and want to delete that later on, they can do this easily from employee profile.

Advance Requests and Travel Desk – Jan 09, 2020
Advance Expense is a concept of requesting an amount before the expenses are incurred. In general, a Business trip, Campus recruitment will fall under this list, where employee cannot compensate huge amount from his pocket for his own or whole team sometimes. In those cases, employee can raise a advance request with his estimates to receive the amount from employer.
Once the amount is received, employee can submit the receipts for his expenses before the due date against that advance request. Based upon the bills submitted again the balance amount will be adjusted to employee which is treated as an Advance Settlement. So basically advance request is composed of the following phases:
- Requesting Advance
- Travel Desk (if any booking requests are also included)
- Advance Settlement
Added three more expense types which can be added in expense policy. These expense types can be used by employees while claiming an expense or advance request. Following are the new types added into the system.
- Local Conveyance
This can be used to claim an expense when an employee made a travel from one place to another. It captures the information such as source and destination, onward and return journey dates, purpose of travel along with fare.
This can be used to claim an expense when an employee utilizes the lodging facilities in any geographical location. It captures the information such as Accommodation place, check-in and check-out dates, purpose of stay along with the amount.
This is one more expense type which will be offered by employer to his employees to compensate their travel fares (if any) from their place of residence to the workplace.
Wherein, Travel and Accommodation types will be shown only for the tenants who have subscribed for Travel Desk feature.
1. Advance Requests & Approvals
Requesting advances can be enabled at each policy level. Employees who are part of that policy are only eligible to to raise an advance request. This can be done by any privileged user such as Expense Manager, HR Manager, Payroll Admin, Global Admin from expense policy by clicking on configure after selecting the respective expense policy.
On clicking over configure link, a pop up will be populated with settings related to due date for receipt submission and enabling/disabling advance requesting ability for employee as shown below.
On allowing advance request raising ability, an additional system defined expense category will be added automatically to the expense policy which can be used to raise any Cash Advance in their Advance Requests.
How can an employee make advance request?
This will be similar to raising an expense request by employee. The only difference is they need to choose the related category , along with the estimated amount in case of cash advances. The approval flow will be same as expense claims.
An employee can add expenses into an advance request in two ways:
- Cash Advance – Requesting some amount for a purpose, this can be processed along with payroll or outside payroll
- Booking Request – Request will be forwarded to travel admin to get booking confirmation and all
In general employee might not provide the exact amount or reason for Cash Advance type as these are being requested before the actual expense are incurred. Hence it requires the purpose and the estimated amount.
A Booking Request type will be referred to Travel Desk Manager as he would be the POC to take action on all the accommodation or travel tickets for the requested details. It requires place for accommodation type or source and destination for travel type that needs to be provided by employee while requesting.
How to request an advance? What will be it’s approval flow ?
An advance request can be raised either by employee or any privileged user. This can be added from employee profile >> expenses >> Advance Requests >> “Request Advance”, which will shows a popup where the employee can add the requests to be claimed in the advance.
On or after adding all the details, employee can submit the request which will be sent for approval flow similar to the expense claims. Once the request is approved then it will be forwarded to the Travel Desk Manager if any booking requests are included in it.
After adding all the expense details, employee can click on “Submit Request” to send for approval.
Requested advance request can be processed either with payroll or outside the payroll. On every approval action respective email notifications will be sent to the employees along with its payment status.
Who can take action on Advance Requests and from where?
Basically an approver can be any person who has expense approval privilege either with system roles such as Global Admin, Payroll Admin, HR Manager & Expense Manager and the employees who are added in expense approval chain can take action on any advance request from various places as mentioned below.
Anyone who is part of approval chain can take action on the request from My team >> Expenses & Travel >> Waiting for Approval >> Pending Advance Requests Approvals
Any current approver basically who is part of approval chain can take action on the advance requests from Inbox >> Take Action >> Expenses
Once the request is approved, it will forwarded to next level as per approval flow, and already action taken requests will be added into Inbox archive for tracking purpose.
Privileged users such as Global Admin, Payroll Admin, HR Manager & Expense Manager can take action on the advance requests from Org >> Expenses & Travel >> Pending Approval >> Pending Advance Requests Approvals
Privileged users such as Global Admin, Payroll Admin, HR Manager & Expense Manager can take action on the advance requests by navigating to employee profile Expenses >> Advance Requests
Privileged users such as Payroll Admin or Global Admin can take action on the advance request from Pre-payroll actions as well from Payroll >> Run Payroll >> Reimbursements, Adhoc Payments & Deductions >> Expenses >> Cash Advance Requests section.
After the request is approved completely it will be moved under Pending Payment tab, where user need to mark as paid if payment is done outside payroll else it will be moved to past advances on payroll finalization.
This can be done from following screen by navigating to Org >> Expenses & Travel >> Pending Payment>> Pending Advance Payments & Booking Confirmations by selecting the request and clicking on Mark as Paid with a payment date.
Where can an employee see all his advance requests history?
Once an advance request is approved and got paid, they all are considered as past. All the advance requests are not to be paid since an advance request might not be composed with a cash advance i.e. in case only booking types are there in the request. But these will also be listed as past advances that an employer spent on his employee.
An employee can see all his past advances in his profile under Me >> Expenses & Travel >> Advance Requests >> Advance Requests History. This will be helpful for an employee to know the due date by when he has to settle the advance amount received if any.
As the Advance Request got paid out to the employee then the payable amounts will be shown in Pay Register, Payslip, and few other payroll reports where employee costs need to be tracked.
Only the advances which got paid along with payroll will be appeared in payslip, but wherein settlement need to be done for both the advances which are processed both inside and outside the payroll.

2. Travel Desk
It is a feature which makes the employee to raise a booking request along with his advances, where Travel Desk Manager will take action on those booking requests after the approval of advance request. By subscribing this feature admins can see two more new expense types (Travel & Accommodation) in their tenant which in turn can be used while claiming an expense or advance request. By using those types admins can new categories and can add those in expense policies to make use of them while raising advance requests.
Any booking type requests that are there in the advance request need to be take an action from travel desk by privileged users such as Travel Desk Manager/HR Manager/Global Admin.
Travel Desk Manager – Roles & Permissions
Once an organization is subscribed with Travel Desk feature one more new role will be added there under system roles as Travel Desk Manager. Employee who is assigned as Travel Desk Manager has permissions to manage all the travel bookings of employees in that tenant.
How to raise a Booking Requests?
Booking Requests will be added while along with the advance request itself. Each employee can raise travel request along with their individual preferences. Combined request for travelling, hotel accommodation & cab reservations along with foreign currency advances can be raised as an advance request and followed the same request to travel desk manager for booking confirmation and all. Employees can have an ability to raise both round trip or one-way trip requests as per their travel requirement.
This can be done from following screen Me >> Expenses & Travel >> Advance Requests >> Request Advance >> +Add Advance / Travel Booking
After Multi-level / multi-department approval workflow management the approved request will be sent to Travel Desk for Booking Confirmation from travel desk. By then Travel Desk Manager will receive a mail notification regarding booking requests with respective details
Who and where to take action on Booking Requests?
Privileged users such as Global Admin, HR Manager & Travel Desk Manager can have the ability to take action on all the booking requests that are awaiting for approval. Travel Desk Manager can either confirm/decline, revoke the declination of any booking request.
Requests which are marking as confirming required to attach the booking confirmation receipts such as Flight Ticket, Boarding details, Hotel Booking receipts,…
This can be done from Org>> Expenses & Travel >>Travel Desk >> Pending Bookings and can select the advance request wanted to take action on
To take action on the booking requests privileged user need to click on the advance request so that he can view details of request to take proper action on them.
Once an action is taken on booking requests then respective email notifications will be sent to employee.
Do all the Advance Requests forward to Travel Desk?
No, Advance Requests which is not composed with any of the booking requests will not be forwarded to the Travel Desk and once admin has taken any action on all the booking requests composed in an advance request then it will be moved to Booking History section.
To view the Past Booking History one should navigate to Org>> Expenses & Travel >>Travel Desk >> Booking History
3. Advance Settlements & Approvals
When an employee receives a cash advance, he/she should submit receipts against that advance request within the due date. This process is termed as advance settlement.
For the settlement of cash advances a different request will be raised against each advance that got paid out to employee.
Any difference in the cash advance and advance settlement can be paid out/recovered from the employee.
How to do settlement against the advance received?
Advance requests which are paid and are yet to be settled will be shown in both Advance Requests & Expenses Claims under “Submit receipts for advances” section as shown below.
From here employee can add the expenses or bill against the cash advance that he got received earlier. This can be accessed through Me >> Expenses & Travel >> Advance Requests >> Submit Receipts for Advances >> Add Receipts
Now user can click on “Add Receipts” to add expenses against the advance received. Here user can map either existing expenses already added in his profile or can add new expenses into that advance settlement request from following screen.
The same functionality will be there from pending expenses screen also
After adding of all the expenses, user can view the settlement amount against that advance request before submission. Later the approval flow will be same as expense claims.
And there is one other way to link existing expenses directly to the advance requests got received, It is as simple as regular expenses claiming, after adding of all the expenses while claiming user can select the advance request that is still in due and not added any receipts yet into it.
Who can take action on Advance Settlement Requests and from where?
In advance settlement requests are similar to the expense claims, since here in employees are submitting bills against the expense incurred earlier. So these are also shown in the section where expense will be shown while it is awaiting for approval or after approval and all.

An employee can see all his past advances settlements claims in his profile under Me >> Expenses & Travel >> Past Claims.
As the Advance amount got Settled out for the employee against the advance received earlier, the settlement amounts will be shown in Pay Register, Payslip, and few other payroll reports where employee costs need to be tracked.
Only the advances which got settled along with payroll will be appeared in payslip.

What will be happen for an advance request when bills are not submitted by employee?
In case of receipt submission failure admin can have the ability to recover the whole amount against the advance request. This will be helpful in case of employee made cash advance settlement via offline, or for absconded employees after receiving of advance payment. By this option privileged user such as Expense Manager, HR Manager, Payroll Admin, Global Admin can make that as settled by navigating to Org >> Expenses & Travel >> Pending Receipt Submissions screen.
Select the advance requests that are wanted to mark as settlement and click on Mark as Settle option.
Advances which are settled by admin from Pending Receipt Submissions screen will be considered as full recovery and that will not be part of payroll, so that an advance settlement request will be created and listed under employee past settlement history with information such as when & by whom it is recovered.
Minor Updates – 08 Jan, 2020
We have changed the implementation of Late comers and Early leavers reports in Time Attend >> Reports and My Team >> Attendance >> Reports to include half day week-offs based on the shift assigned for that day
Auto extension of notice period if employee consumes a leave in notice period. – Jan 10, 2020
When an employee is in notice period and if the employee applies for a leave, the notice period will be automatically get extended.
For this, Admin needs to configure the leave type by enabling the “Can an employee in notice period apply for this leave?”
Once enabled and given condition as “Extend by 2 times the actual leaves days”0
For example: – if an employee who is in notice period till 14th of January 2020 and applied leave on 06th of January 2020 now employee’s notice period will be extend by 2 days i.e. his notice period will end by 16th of January 2020.
And if leave is for 2 days then his notice period will extend by 4 days that means his notice period will end by 18th of January 2020.
After exit of the employee, we can check it by going through employee’s profile.

Employee can now update their profile picture from mobile app.
Here is how it works:
Go to your profile. (You can navigate to your profile by just tapping on name displayed in Me page or you can find yourself via employee directory). Once you are in your profile, select your profile picture by tapping on your circular picture (found above your name). If you already have a profile picture, you can now see your complete profile picture (Else, you will find options to upload your picture) as shown below.
To change the profile picture, click the pencil icon on the top right corner.
You can either upload your picture by taking a photo (uses device camera) or choosing an existing picture from your gallery (requires access to device photo gallery).
Note: The image captured during taking a photo will not be stored on your device memory.

Ability to apply Hourly Work From Home/On Duty requests from Keka mobile app – Jan 16, 2020
Employees can now apply work from home and on duty request for a specific time duration (in minutes) from their Keka mobile application.
Here’s how it works:
- Users can apply for Hourly Work from Home/On Duty request by selecting the hourly request check box under the calendar selection field in the Work from Home or On Duty request page and specifying the start and end time for that request.
- You can also verify the total amount of time for which the request is being made based on the Start and End time specified for that request.
- The hourly requests made can be viewed under Attendance History>>Request page, and its corresponding timings can be seen in its respective request details page.
NOTE : The hourly Work from Home/On Duty feature can be used only if the required settings are enabled in Capture Scheme of that employee in Keka web portal.
This setting can be found in Time attend>>Attendance Tracking>>Capture Scheme>>Work From Home/On Duty>>Employees are allowed to do hourly Work from Home Or On Duty

Enhanced Exit Task User Interface – Jan 16, 2020
When exit tasks are assigned to an employee they can access their assigned tasks from Inbox. Earlier the assignee gets all the tasks in his/her Inbox even if the tasks that is assigned to him/her are due 6 months later or even more.
Inbox: In the new enhancement, the tasks due in next 2 weeks will be shown under Upcoming Tasks in Inbox. Assignee will be seeing Overdue tasks under Overdue, so that they can concentrate and check the tasks which need to be completed soon.
Employee Profile > Exit: As we are showing only the tasks which are due in 2 weeks for the assignee, In any case, if the Global Admin/HR Manager/HR Executive wants to see what all tasks are there for the employee they can go to employee profile and verify them. All the tasks will be shown in employee profile by dividing under respective sections. In Exit tab, you will be able to see all the tasks related to that employee even if the tasks are due 6 months or later.
All the exit tasks will be deleted if an employee exit has been cancelled. When an employee rejoin the organization, all the previous pending tasks will be completed if there are any.
Minor Updates – 17 Jan, 2019
- Added validations for PAN and Aadhar numbers captured across Keka:
- When adding PAN or Aadhar numbers in documents, in financial information etc.. we have added validations for the fields which will accept only the valid PAN or Aadhar numbers. This will avoid adding of dummy PAN and Aadhar numbers by employees
- Documents uploaded by Admins ( Global Admin, HR Manager, HR Executive ) on behalf of employees will be auto approved instead of waiting on Admin again
- Admins ( Global Admin, HR Manager, HR Executive ) can approve the employee documents in bulk from Org > Documents > Employee Documents > Pending verification section
Flexible Benefit Plan – Jan 20, 2020
What is Flexible benefit plan?
FBP or Flexible benefit plan is a way of structuring the salary of an employee with which employees are given the option to decide the components they want to take in an financial year and how much they want to take under each component. This is also popular as “Bouquet of Benefits”.
Let us take an example to understand this in detail. In general companies do structure compensation by allocating amount under Basic, Dearness Allowance, HRA, Medical and Conveyance etc., where HRA is beneficial for people who stay in a rented accommodation. If an employee owns the house, then the HRA paid would be entirely taxable. Instead of HRA employee may like to opt for Leave Travel Allowance (LTA). To address these kind of situations, companies follow FBP which allows employee to arrive at a set of components and fixed amount under each of those heads.
How to enable FBP?
Once FBP feature is added to the subscription, please navigate to salary components, edit the component and enable the setting “This component is part of Flexible Benefit Plan” or add a new component as shown below
After adding FBP components into Keka, we have to enable FBP at structure level. Once FBP is enabled at structure level and if the structure has any FBP components then all the employees who are under that structure will be able to see FBP components and they will be able to declare under those components.
Note: For enabling FBP feature please reach out to firstname.lastname@example.org and If FBP feature is added in the subscription then all the employees in the tenant will see a new tab in employee finances i.e., Flexible Benefit Plan(FBP)
How frequently can an employee declare under FBP?
An employee can declare to FBP only when there is a new salary revision or during the start of a new financial year i.e., In the month of April. Once if the declaration is processed through Keka, then employee will not be able to change the declarations
What are the restrictions for declaring FBP?
- An employee can only declare FBP for current salary structure and they will not be able to do it for past or future salary structures
- FBP declaration cannot be made for the components which are overridden at employee level and
- Maximum amount that can be declared under a component is minimum of Total available FBP amount and Component maximum value
- The Total FBP amount will be the sum of amounts distributed to FBP components and special allowance

Ability to select calendar days or leave days for sandwich policy configuration in leave – Jan 30, 2020
We have provided the option for user to select leave days or calendar days while configuring sandwich policy for holidays and week-offs.
Calendar Days : Calendar days are considered by including week-offs and holidays adjoining leave days.
Leave Days : Leave days are considered for applied leave days excluding week-offs and holidays.
How to configure this setting ?
For example, Configuration for holidays is such that “if leave is applied for 3 calendar days then sandwich is applied”. Now 18th is a holiday and leave is applied on 17th and 19th. Then based on the setting total leave request is for 3 calendar days, so 18th is also penalized.
For example, Configuration for week-offs is such that “if leave is applied for 2 leave days then sandwich is applied”. Now 18th is week-off and leave is applied on 17th and 19th. Then based on the setting total leave request is for 2 leave days, so 18th is also penalized.
Note: We have also provided users to select option 0.5, 1.5, 2.5… etc days.
Ability to search employee through Email / Mobile Number / Work Number – Jan 31, 2020

Instead of going through relived employees report and navigating to employee profile, Admins (Global Admin, HR Manager, HR Executive) can now search the relived employees directly and open their profile. They’ll be differentiated with the relieved tag when searching.
