We have provided ability to configure ‘From Alias’ for mail notifications from the path Settings > Integrations & Automation > Event Triggers
By default ‘no-reply’ will be displayed in all events. Users can add their custom alias according to their requirements. The domain name will be ‘@email.keka-mail.com’

Implementation of 9-box model – Aug 30, 2019
9-Box is an individual assessment tool that evaluates an employee’s current and potential level of contribution to the organization. The 9-box is model is mostly commonly used in success planning as a method of evaluating an organization’s current talent and identifying potential leaders.
In order to configure 9-box model follow the below steps:
1. Review process settings:
In Feedback form flow step we have given the measurement type (i.e, Performance and potential). If you want to use 9-box model, select both performance and potential.
Then, in calibration step if you enable “As a part of calibration, employees are to be distributed or categorized into performance bands” setting, you will be able to see the option to select the distribution model which will be used to distribute the employees
If you click on select distribution model, you will be able to see “bell curve model” and “9-box model”
Bell curve model will be used when there is only one type of rating i.e, either performance or Potential. 9-box model will be used when there are both performance and potential ratings to compare the employee capabilities.
If you select “9-box model” , you can select the dimensions of the matrix (i.e, 2*2 or 3*3 etc.) and which rating to be plotted on x-axis and y-axis
Based on the selection, you can see the following matrix where you can create the performance bands.
2. Review form settings:
Based on the process settings that you have selected, the measurement type i.e, performance, potential in review form settings for each section at an individual reviewer level. If admin selects both parameters then while submitting the review form both the ratings will be shown.
3. Submit review form:
While submitting form, for each section it will show the measurement type (be it a performance rating or potential rating). Let’s say if both performance and potential ratings are enabled for questions. then reviewer needs to submit performance feedback and potential feedback on the same question. Same is the case with other sections.
So, there will be two auto calculated and two proposed ratings with comments if both performance or potential ratings are enabled.
4. View review form
While viewing the form from employee ,managers and admins both performance and potential feedback’s will be shown.
If the calibration is enabled, calibrator needs to calibrate both performance and potential ratings of each reviewer in “Calibrate ratings” step and can assign the band based on the potential vs performance matrix.
Once the review is released, employee and managers can view performance and potential ratings in me and my team respectively.
We are showing rating in the reports. Now, we have changed it and showing two ratings i.e, performance rating and potential rating if both are present.
In few reports, where we have graphs we are showing the filter for rating.
Implemented Skill Management – Aug 28, 2019
Skills are the expertise or talent needed in order to perform a task. Each individual have their own set of skills and it is difficult for the admins to know which is employee is expert in the particular skill.
Skill Management is useful in these cases, to identify the skills that a job role requires, the skills of an individual employee.
Skill Matrix is the tool which clearly and visibly illustrates the people’s proficiency and in specified skills as well as their interest in the working on assignments using these skills.
We have implemented skills in performance management which is as follows.
Global admin or Performance admin can enable the skills feature by navigating to Performance>>Settings>>Skills.
Once skills are enabled, all the skills related tabs will visible for employee, managers and admins.
Admin can add the skills which are required in skill repository by navigating to Performance>>Skills>>Skill Repository. It aims to identify the skills and individual has used or could use, identify the ones they would like to acquire in the future.
All the related skills can be grouped under a skill group.
Note: Skills which are added in skill repository can be added in to skill groups.
Skills from employee view:
Employee can add/update/delete skills from Me>>Performance>>Skills. Skills which are added in skill groups will be shown when employee searches for skill in his skill profile
Employee can rate on his particular skill (based on the setting). Then it will go for approval if approval is required. If a skill is under approval, he can edit from “Skill update requests” tab
All the current and past skill update requests will be shown under “Skill updates requests” tab
Skills Update requests:
Here, all the skills requests will be shown for admin, where can approve/reject the skills.

Here, up on selecting the skill group, and skills in that group it will show the employees who are having that skills and the rating on that skills if rating is enabled.
If rating is not enabled, it will show whether that employee has the selected skill or not.It will show “Y” if employee has that skill, otherwise it will show “N”
Enhanced the view of reviewer management – Aug 28, 2019
We have enhanced the UI of reviewer management with few updates which are as follows
when the form is not submitted by employee, it will show it in the grey color and on hovering, it will show it as “Not submitted” .Once form is submitted, it will be shown in the green color and upon unlocking the review form it will show the open lock icon.
In sequential review process, earlier if any manager role is updated, if he wants to updated it in reviewer management, user needs to remove the below roles manually and update the sequence.
But now, we have given an option “Add new level” under each role where can remove the role and added there itself without updating the sequence.
We have given “Add new level” in the top of the page in case of independently review process as all the reviewers will get the form at the same time.
Reviewer management can be done in meeting step, feedback form step and when calibration step is not started.
Enhanced the view of payroll reports with new user interface and filters – Aug 27, 2019
We have enhanced the user interface of all payroll reports and removed expense reports from payroll and given them under Org >> Expenses >> Reports. Added new filters like Pay group, Department, Cost center, Location, Business unit, Remuneration type with an aim of improving usability and creating a better user experience.
Among the salary reports, Current salary report is “Run” based report which requires pay group, remuneration type, frequency to view the report. Report will be shown as follows
Remaining salary reports were default loaded reports along with some new filters as followed
- Pay group (Based on Feature)
- Remuneration type
- Employment status
- Cost center
- Business Unit
We have also enhanced the interface of Financial information, Bonus status and Bonus revision reports, but with out filters.
Added ability to rollback the exit if the pay action is already paid or settlement is done by disabling payroll for the employee. – Aug 27, 2019
When admin completes the exit settlement of an employee by marking the pay action as Already Paid in the last step and in case if admin want to make any changes in the settlement then they can use this option to Rollback the settlement.
To rollback exit, navigate to Org>> Exits >> Completed and click on actions then the option to Rollback will be shown as shown in below,
On Clicking this, the exit request will be rolled back and can be seen under In Exit process tab. In this way admin can make any changes to the exit settlement after rolling it back.
Ability to raise a request for Overtime – Aug 27, 2019
Employees can now raise an overtime request to avail payment for OT hours based on the policy configuration. When enabled, employees will only be paid out for OT hours which have been approved.
Note: Employees who have OT policy assigned without request being enabled, Overtime hours will be paid out based on the policy configuration.
Employee 1 has been assigned to OT Policy 1, with OT request enabled. He/She has worked 2 hours of overtime and have raised a request for 4 hours, they will be paid out for 2 hours only.
Employee 2 has been assigned to OT policy 2, with OT request disabled. He/She has worked for 2 hours of overtime, they will be paid out for all OT hours.
Overtime Request setup:
A new tab has been added in OT configuration popup, where user can enable OT request.
Restriction on Overtime request:
- Employees can be restricted from raising an OT request on the basis of a prior notice period.
- Employees can be restricted from raising more than a certain number of requests in a period of time(Week/Month/Quarter/Half Year/Year).
- Employees can be restricted to raise a past dated OT request.
- If an employee is allowed to raise a past dated request
- Employees can be restricted from raising a past dated request beyond a certain number of days in the past.
- Employees can be restricted from raising a past dated request after a certain day of every month.
Applying for an Overtime request:
Employees can apply for an Overtime request from Me > Attendance > Overtime Requests.
Note: OT request can be raised from Employee’s time > Attendance > Overtime request by Reporting manager and above.
Approving an Overtime Request:
As of now overtime requests do not have an approval chain and the requests are sent to Reporting managers for approval. They can approve the Overtime request from Employee’s Attendance > Overtime requests or My Team > Attendance > OT request approvals.
Global Admin, HR Manager and HR Executive can approve OT requests from Time Attend > Approvals > Overtime.

Ability to update few process settings even when reviews are in progress – Aug 27, 2019
In Nomination step:
Entire view of nomination in process settings is brought into manage settings of nomination in review administration. In addition to it, now maximum no of reviewers peer/subordinates/external could be increased or decreased at any point of time and would be applicable for yet to initiate reviewers
Entire view of Meeting step in process settings is brought into reviews in progress in review administration. In addition to it, now meeting participants/ approver of meeting could be modified at any point of time and would be applicable for reviewers who are not yet in meeting step
Feedback form step: Manage settings of feedback form step remained same where entire view of feedback form step in process settings is bought to manage settings
Calibration: In calibration settings, from now user could give duration in which calibration need to be completed when calibration is turned on, which was off in process settings
In finalized step user could modify who can write review summary and who can release review at any point of time, and would be applicable for reviewers who are not yet in finalized step

Adding an Expense Claim
- All the expense management has been shifted from Employee finances to Employee Me tab
- To claim an expense user need to go through his Me >> Expenses >> +Add an Expense
- This screen will allows the user to provide all the claim details that are needed by an admin to take an action on the claim on submission.
This option allows the user to save the expense details. These expenses will be added under Expenses to be claimed section under Employee Pending Expenses.
Save and Add Another :
This option allows the user to save the current expense and add one more expense to add new expense details into the claim.
This option allows the user to save the expenses that are supposed to be claim in future.
This option allows the user to file the expense, which would need just submission of expense on doing this. These expenses will be added under Claims to be Paid section.
Employee Pending Expenses
Expenses to be claimed:
- All the expense which are not yet submitted will be shown over there.
- All these expense can be added into the claim that which has already submitted or into new claims.
Claims to be Paid:
- Any expense which is claimed will be listed under claims to be paid section
- The status of each claim will be shown against the every individual expense.
Employee Past Expenses
Approving an Expense:
- Added options to choose the payroll cycle as First pending cycle and Next pending cycle
- This will helps the admin to approve different expense claims that are being processed with different pay groups.
- On choosing the option as First pending the expense claim will get paid out in the immediate pay cycle that is being processed of that employee.
- On choosing the option as Next pending the expense claim will get paid out in the immediate next pay cycle that is being processed of that employee.

Expense Policies and Categories Revamped – Aug 21, 2019
Expense are now revamped with new interface and moved to Org tab. Global Admin/ HR Manager/ Payroll Admin can access these settings from the path : Org >> Expenses.
- An organization might use various types of expenses based upon their usage which would be used to claim by their employees to reimburse.
- We are allowing to create an expense with types such as General, Mileage & Per Diem.
- All the expense types which are created will be shown under Org >> Expenses >> Expense Categories.
Adding an Expense Category:
- Various expense types can be added here based on their usage, Ex: Team lunch, Flight Tickets, Hotel & Lodging etc.. . Users can select appropriate icon against each expense type.
- To add an expense category one can click on Org >> Expenses >> Expense Categories >> +Add Expense Category.
- This screen will allows us to add a new expense category which would be used in expense polices.
Expense & Travel Policies:
- An expense policy is a set of rules that which holds various expense types & approval chains, that specify how employees are reimbursed for all the expenses.
- To add an expense policy one can click on Org >> Expenses >> Expenses & Travel Policies >> +Add an Expense Policy
- This screen will allows us to create an expense policy that which can be assigned to any employees present in the organization.
Adding an expense category into an expense policy and Setting up various rules for it
Adding Expense Category:
- To add an expense category into an expense policy admin need to follow the following steps:
- Select an Expense Policy >> Click on +Add Expense Category , which will shows a popup where user can select the expense categories wanted to add into it.
Configuring Expense Category in an expense policy:
- For every expense category added into an expense policy we can configure different set of rules, such as variance in limiting monthly/daily claiming value or number of instances over a month.
- Ability to mandate the comment and attachment of for an expense if it exceeds certain values which helps in easy management/tracking for auditing purposes.
- To configure rules for an expense type click on Setup Rules/Update Rules against the expense type in respective expense policy.

Added Compliance reports – Form A and Form U (Karnataka) – Aug 17, 2019
Form A – Muster Roll
Employer shall maintain a register with specific details about women employees those who were on maternity leave.
This shall cover employee particulars including joining as well as service particulars, particulars of delivery, and maternity benefit paid etc. Employee shall produce this whenever Inspector requests.
This can be generated from Payroll >> Reports >> Compliance Reports >> Form A – Muster roll >> Generate.
Form U – Combined Annual Return
This is a mandatory filing requirement for any establishment and includes establishment details, employment particulars such as employees working and employees separated, leave with wage particulars, welfare measures, maternity benefits provided, and contract labour information.
The employer who submits Form U under Karnataka Shops and Establishments Act need not submit similar information under the following enactments:
- Form XXV Rule 82(2) of Contract Labour (Regulation & Abolition) Karnataka Rules, 1974
- Form III Rule 22(4) of Karnataka Minimum Wages Rules, 1958
- Form XX Rule 20(1) of Karnataka Payment of Wages Rules, 1963
- Form L Rule 16 of Karnataka Maternity Benefit Rules, 1963

Ability to add multiple PF and ESI numbers in the same pay group. – Aug 17, 2019
Added the ability to add multiple PF & ESI establishment numbers to manage multiple entities under a single pay group. In cases if the legal entity associated with the employees in the organization is same and differs only in the statutory filing information(i.e. either PF establishment number or ESI employer numbers) then in this case users can use the ability to add multiple PF establishment numbers /ESI employer numbers functionality.
How to add Multiple PF establishment numbers?
To add multiple PF establishment numbers navigate to Settings >> Payroll >> Statutory Filing Information >> Provident Fund Info , click on Add New PF Info button.
How to add multiple ESI employer numbers
To add multiple ESI employer numbers navigate to Settings >> Payroll >> Statutory Filing Information >> ESI Info , click on Add New ESI Info button.
How to assign these to employees?
Either PF establishment number or ESI employer number can be assigned to the employees from the below places:
- Employee Finance >> Preferences >> Provident Fund and ESI Info >> Edit (for single employee)
- Payroll Admin >> Import Employee Financial Information (for bulk employees)
- Payroll Admin >> Employee PF and ESI Info (here details can be edited for single or group of employees)
All the PF and ESI reports will be generated based on the establishment numbers assigned to the employees.
Ability to take short leave (Intervening time-off) in the middle of the shift using Partial day. – Aug 17, 2019
Intervening Time-Off request:
Users can now apply for intervening time off (Short leave in the middle of the shift) using partial day requests.
Intervening time off needs to be enabled from Time Attend > Attendance Tracking > Capture scheme.
Applying for an Intervening Time-Off request:
Once enabled, employees assigned to this capture scheme can request for an intervening time-off request from Me > Attendance in the following manner:
Note: Reporting manager can apply this request on behalf of the employee from Employee’s Attendance page.
Penalization on a partial day:
Employee can still be penalized by tracking policy for days with Intervening time-off request, if he/she exceeds the limit even after partial day request permission is considered. Suppose employee raises a intervening time-off for 1 hour, his/her total shift is for 8 hours and his tracking policy is set to penalize if work hour percentage is less than 100%. If employee works for less than 7 hours, then he/she will be penalized for working less than the permitted hours
Note : Settings to ignore late arrival, missing swipe deductions if employees completes 100% of work hours also consider work hours after excluding time off duration given in partial day request.

Intervening time off requests can be approved from Employee’s Attendance > Attendance Requests, Time Attend > Attendance Approvals, My Team > Attendance Approvals and from Inbox.

Implemented ability to copy questions from review form of other reviewers – Aug 14, 2019
Review questions can be same for different same stakeholders. In the current implementation,the question, though look same, come up as different questions. But the users needs an easy way to compare the responses given by different reviewers for the same question. This problem will be solved now. If a question is same for different reviewers, you can copy that question for other reviewers who are all eligible to rate on it. User can see this in review form settings.
When questions section is added, “Copy form review forms of other reviewers” option will be shown. Up on clicking it, you will be able to see the reviewers who have question section added. you can select the reviewer and required questions for the reviewer. If a question is added for multiple reviewers, we are going to show the number of reviewers for that question.

The core functionality is same, in previous implementation in admin view of preview, all the feedback submitted by reviewers is displayed in single form , now we have segregated into reviewer wise form.

Enhancements in Form 24Q generation – Aug 09, 2019
1. Added details like employee number , PAN number and Search option while mapping the employee in the challan.
2. Auto filling the challan amounts when clicked on “Add Challan” under Payroll >> Payroll Admin >> Income Tax & TDS Management (Form 24Q).
We will be auto filling the Income tax , surcharge and education cess amounts based on the values that are deducted in that month. If needed user can Edit them.
3. Ability to edit the challan amount on clicking on the challan amount under Payroll >> Payroll Admin >> Income Tax & TDS Management (Form 24Q) as shown in below image.
4. Added ability to include NIL TDS employees, Excluding employees having Zero earnings and Selecting the deductor type.
To do this navigate to Payroll >> Payroll Admin >> Income Tax & TDS Management , on-clicking Regenerate button the above-mentioned options will be shown.
Implemented preview for Organization documents – Aug 07, 2019
Implemented the preview in Organization documents. To access any document uploaded in Organization documents (Org > Documents > Organization Documents), employees can directly click on Document name and view the preview of the document instead of downloading it unnecessarily. If the user still wants to download the document, they can use the download options provided in the online viewer.
Over Time automation in payroll – Aug 07, 2019
In most of the organisations when employee works for more than their designated shift hours, employer may compensate his/her work with overtime incentives. Till now payroll has provided this option just as an “Adhoc Payment”. In recent updates we have given the ability to configure overtime policies for employees (under Time and Attendance Tab), and now we have this integrated with payroll to completely automate the OT hours and respective payments. You need to configure OT hours payment calculation before payments can be part of payroll run. To do this, please follow the steps below.
How to define hourly pay calculation for OT?
To define OT formula navigate to Settings >> Payroll >> Salary Structure Configuration >> Range Based
Click on Edit Structure, and you will see an option to add hourly pay calculation for OT.
On clicking ‘Add Hourly Pay calculation for OT’ user will be given an option to add the required formula for per hour OT payment calculation (as show below).
Similarly hourly calculation for OT can be defined for Custom Salary structures and Daily wage salary structures.
Based on the OT work hours from employee’s attendance, and using the Overtime policy that is assigned to the employee, over time payments will automatically be calculated and will be shown under Payroll >> Bonus & Salary Revisions >> Overtime Payments.
You can view the details of calculation on this page. Moreover, Payroll admin also has an option to override the OT payable amount. In case this needs to be done for multiple employees, admin can use Excel import to accomplish this.
Added Compliance reports – Form Q (Karnataka) and Form 11 (Karnataka) – Aug 07, 2019
Form Q – Appointment Order
Every employer, employing any person in or in connection with his/her establishment, shall issue an Appointment Order in writing indicating the name, designation, wage scale of such a person, and terms and conditions of his/her employment. The employer has to file a copy of the Appointment Order in the personal file of the employee as well.

Form 11 – Registration of employment
Employer shall maintain a Register of adult workers, year wise, as per the given format. This consists of name and address of the employee, nature of work, department, relay particulars, date of first employment, and remarks.

Ability to configure a component as both Earning and Deduction from UI – Aug 07, 2019
Added ability to configure a component as both Earning and Deduction from UI
For Organisations having Pay Groups:
This can be configured at each Pay Group level.
To configure component as both earnings and deductions, go to Settings >> Payroll >> Select Pay Group >> Salary Components (which you want to mark as both earnings & deductions) >> Edit
For Organisations not having Pay Groups:
To configure component as both earnings and deductions, go to Settings >> Payroll >> Salary Components (which you want to mark as both earnings & deductions) >> Edit
Choose the option ‘Mark this allowance as part of both earnings and deductions’ as displayed in the image below.
One common example for such component is ‘Food coupon’, which company includes as part of regular monthly earnings of employee, because of the monetary value it holds, but doesn’t form part of the Net pay that employee receives as salary, since this is paid out as Coupons/Meal Card/Vouchers etc.

Enhanced the flow of adding and removing employees to the review group – Aug 06, 2019
To ease the process of adding and removing from the review group, we have refined the flow as below.
Now, we are going to show all the employees while adding employees to the review group . We will show the current review group that employee has assigned and the count of active reviews if any.
If there are any active reviews, employee can’t be added to another group.
While removing also, if employee has any active reviews, employee can’t be removed.
Implemented ability for calibrators to do bulk calibration – Aug 05, 2019
One of the things that most employees dread about the annual performance review is the feeling of unfairness in the employee ratings. Performance review calibration takes away the impression of having a biased or unjust review system by establishing a fair and equitable standard by which all employees are measured. Since promotions and other career decisions are based in part on the performance reviews of employees, it’s important that managers throughout an organization are viewed as being consistent and fair in how they evaluate employees.
For calibrators, doing it at an individual level is a time taking process. So, we have provided an option to import the ratings in bulk and band assignment in bulk.
To do bulk calibration, follow the below steps:
Navigate to Performance >> Calibration>>Review cycle.
Enhanced review form flow
The review report of an employee has all the responses given by all the reviewers in a stacked format. It is quite difficult to get a quick snapshot of information.
So, we have revamped the complete review form submission flow as below.
When reviewer clicks on “submit review” from Me/My team, then the below page will appear. Here, reviewer can see all the sections that needs to be reviewed along with weights. Once all these sections are filled, then form can be submitted
Upon clicking each section, reviewer could view all question included into it and overall rating for that section can be viewed upon completing all question in that section
While filling the form reviewer could view responses submitted by other reviewers (as per visibility settings) in section other reviewers
Also upon clicking each question in respective section reviewer could view responses submitted by other reviewer for that particular question if reviewer has access to view the responses submitted by others.
Upon giving responses to all question in all sections, final calculated rating will be displayed, and also reviewer is allowed to give proposed rating(which is manual rating earlier) with comment (if made mandatory) and can submit the form.

FORM C – Payment of Bonus Act
As per rule 4(b), Employer shall maintain a Register showing the details of the amount of bonus due to each of the employees, the declaration under Sections 17 and 18, and the amount actually disbursed in the given format.
When an employer has paid any Puja bonus or other customary bonus to an employee or paid a part of the bonus payable under this Act to an employee before the date on which such bonus becomes payable then the employer shall be entitled to deduct the amount of bonus so paid from the amount of bonus payable by him/her to the employee under this Act in respect of that accounting year and the employee shall be entitled to receive only the balance.

FORM D-Equal Remuneration Act
As per Rule 6 of the Equal Remuneration Rules, 1976, Every employer shall maintain a register in relation to the workers employed by him in the given format. This register covers remuneration details, component wise and consolidated for available category of workers. This register also includes workers’ information, gender wise.
This can be generated from Payroll >> Reports >> Form D – Equal Remuneration Act >> Generate.

Added ability to view the documents count for declarations in Investment Declaration Detailed Report. – Aug 01, 2019
Added ability to view the count of attachments added by employee for any given investment declarations.
To view this Navigate to ‘Payroll >> Reports >> Investment Declaration Detailed Report’ and click on ‘View Details’ link (next to any Employee Name) to view the list of investment declarations made by the employee along with the count of attachments against each declaration.
The same can be seen in the Excel Exported File also.
